Privacy

This service handles information about people's health. This page sets out exactly what we collect, what we do not, where it goes, how long we keep it, and how to make us delete it.

The short version. The eligibility self-check runs entirely in your browser and sends us nothing. We only receive anything if you complete the separate send step and tick the consent box. If you never do that, we never have your information at all.

What we collect

If you only read the site

Nothing that identifies you is collected by us. This site sets no cookies. There is no tracking pixel, no advertising network, and nothing that follows you to other sites.

We do count page views, and we will tell you exactly how. We use Cloudflare Web Analytics, which their documentation states does not use any client-side state, such as cookies or localStorage, and does not identify visitors by IP address or browser fingerprint. It tells us how many people read a page. It cannot tell us who they were, and it cannot recognise the same person coming back.

We use it for one reason: to find out which pages actually help people, so we write more of those. That is also why you have not been shown a cookie banner. There is no cookie to consent to, and a banner you cannot dismiss with a keyboard would make this site harder to use for some of the people it is for.

Our hosting provider keeps standard web server records, which include the IP address of visitors, as any web server does. We do not combine those with anything else or use them to identify anyone.

If you use the eligibility self-check

Still nothing reaches us. The self-check runs inside your browser and your answers are not transmitted anywhere.

You can optionally ask the page to remember your answers on your own device, so you can stop and come back. That uses your browser's own storage. The answers stay on your device, we cannot see them, and they are deleted automatically once your summary is produced. There is a Delete my saved answers button on the page, and the option is off unless you turn it on.

If you choose to send us your summary

Then we receive, and store, exactly three things:

Nothing else. We do not ask for, and have no way to receive through this site, your Social Insurance Number, date of birth, CRA credentials, banking details, or any medical records.

What we do with it

We use it to reply to you, and if you go ahead, to prepare the documentation your medical practitioner needs in order to complete the application. That is the only purpose.

We also send you one confirmation email when your submission arrives, containing your reference and what happens next. That email does not contain your summary, because there is no reason to send a description of your health back through an email provider when you already have it. If you want your own copy, print or copy it from the self-check page.

We do not sell it. We do not share it for marketing or advertising. We do not add you to a mailing list. We do not use it to train anything.

Who else can see it

Only the person who runs DTC Prep. There are no staff and no contractors with access.

We do rely on a small number of companies to run the service. They process information on our behalf and we remain responsible for it.

Your information is stored outside Canada. The companies above operate in the United States, so information held with them may be stored or processed there, and while it is there it can be accessible to the courts and law enforcement of that country under its laws. If that is not acceptable to you, do not use the send step. You can still complete the self-check, which sends nothing, and take the printed result to your practitioner yourself.

How long we keep it

We keep a submission until your application has been submitted, plus twelve months, after which the record is deleted. After that the record is deleted.

Deleting it sooner

Email hello@dtcprep.ca and ask. Quote the reference we gave you when you sent it, which looks likeDTC-XXXX-XXXX. We delete the record within30 days.

You do not have to give a reason, and we will not ask for one.

Seeing what we hold

You can ask us for a copy of everything we hold about you, and for a description of how it has been used. Email the same address. We will confirm it is really you before sending anything, then respond within 30 days.

If something we hold is wrong, tell us and we will correct it.

Who is accountable, and how to complain

One person is accountable for how DTC Prep handles personal information, and complaints or questions go to them:

If you are not satisfied with how we handle a complaint, you can take it to the Office of the Privacy Commissioner of Canada. You do not need our permission and you do not have to tell us first.

What we are

DTC Prep is an independent private service. We are not affiliated with, endorsed by, or connected to the Canada Revenue Agency. We prepare documentation and organize your evidence so your medical practitioner can accurately complete the application. We do not determine eligibility, provide medical opinion, or guarantee approval.
